This is the help center for hospital staff and administrators using Atlas. It covers what the platform does, how the offline client works, and where to look when something needs an administrator's attention. For contract or data-handling questions, see the Terms, Privacy Policy, or DPA.
Getting started
- Your workspace administrator creates your account and assigns a role.
- Sign in at your hospital's Atlas URL with the credentials you were issued.
- Your home screen reflects your role — a registration clerk lands on patient registration, a clinician lands on their schedule, a pharmacist on the dispensing queue.
- If you'll be charting where the network drops out, install the Offline Client and ask your administrator to authorize your device.
Modules
Atlas covers the full patient journey through a hospital. Every module shares the same patient record, so nothing is re-entered twice.
- Patients & RegistrationRegister a patient once — demographics, MRN, insurance — and reuse that record across every module and visit.
- SchedulingBook appointments against provider calendars and manage staff rosters and shifts.
- Emergency / ERTriage-to-discharge tracking: acuity, queue position, and disposition for every ER visit.
- Operating TheatreSchedule cases across theatres and surgical teams, and record the operative note.
- Maternity & ANCAntenatal visits, delivery records, and postnatal follow-up in one continuous record.
- PharmacyDispensing against orders, stock levels, purchasing, and expiry tracking.
- LabsOrder tests, track specimens, and record structured results back to the chart.
- ImagingOrder radiology/diagnostic studies and file the report to the patient record.
- BillingETB invoicing with telebirr and other mobile-money payment methods.
- ReferralsSend and receive referrals between facilities, with the reason and relevant history attached.
- DocumentsStructured clinical documents and chart attachments (scans, photos, files), signed and filed.
The offline client
The Offline Client is a desktop application for wards, theatres, and clinics where the internet connection is unreliable or absent. It charts against a local, encrypted database and syncs to the hospital's workspace the moment connectivity returns.
Install
Download the installer your administrator provides (Windows or Linux), run it, and sign in once while online to pair the device to your workspace. The device then appears in the admin device list, where it can be renamed, re-authorized, or revoked.
How sync works
Charting continues locally while offline — encounters, vitals, orders, and notes are all available without a connection. When the device reconnects, it uploads queued changes and pulls down anything recorded elsewhere for the same patients. Conflicting edits to the same record are flagged for a clinician to resolve rather than silently overwritten.
Remote wipe
If a device is lost or a staff member leaves, an administrator can revoke it from the device list. A revoked device can no longer sync or authenticate, and — where the operating system supports it — the next connection attempt triggers removal of the local encrypted database.
Admin & operator basics
Workspace administrators manage the hospital's Atlas tenant day to day:
- create, disable, and role-assign staff accounts;
- authorize and revoke Offline Client devices;
- configure modules, departments, and ward/bed structures;
- review the audit log for access to sensitive records;
- manage billing plan and payment method for the workspace.
A separate operator layer (used by the Atlas team, not hospital staff) handles cross-tenant billing and subscription status — it never has access to Patient Data.
Roles & permissions
Every action in Atlas checks the signed-in user's role against an explicit permission — there is no implicit access. Typical roles include:
- Registration/front desk — patient search, registration, scheduling.
- Clinician (physician/nurse) — encounters, orders, MAR, results, documents.
- Pharmacist — dispensing, pharmacy inventory.
- Lab/imaging technician — order queues and result entry for their department.
- Billing clerk — invoicing and payment reconciliation.
- Workspace administrator — accounts, devices, configuration, audit log.
Roles are assigned per Authorized User and can be combined; ask your administrator for a role change if your access doesn't match your responsibilities.
FAQ
What happens to charting done offline if the device is never reconnected?
It stays in the encrypted local database until the device syncs. It is not visible elsewhere in the workspace until then, so devices should be reconnected as soon as practical.
Can two clinics in the same hospital see each other's patients?
Yes, within one hospital's workspace all departments share the same patient record. Separate hospitals each get their own isolated workspace and cannot see one another's data.
Which languages does Atlas support?
English, አማርኛ (Amharic), and Afaan Oromoo, switchable per user.
Who do I contact for a forgotten password or account issue?
Your workspace administrator — Atlas support does not hold hospital staff credentials.
Where is our data hosted?
See the Privacy Policy and DPA for hosting location and cross-border transfer details.
